This Privacy Policy explains what personal data Planetary Records ("Planetary Records", "we") collects across planetary.music and planetary.music/services, why, and the choices you have. For how we use cookies and similar technologies, see our Cookie & Tracking Policy.
1. Controller
Planetary Records is the data controller for the processing described here. Contact our privacy team at privacy@planetary.music.
2. What we collect
- Account data. Your email address and, where you provide it, a display
name. We use passwordless "magic link" sign-in, so we do not collect passwords.
- Content you provide. Audio you upload for mastering, prompts and lyrics
you generate, demo submissions, and messages you send us.
- Playlist review audio. If you choose to attach a recording after pitching,
we use it only to review that pitch, with your permission. Your recording stays private. We keep a limited private record of the review and decision. The retention periods for saved songs, submitted review copies, and recordings uploaded directly to a playlist pitch are explained in section 6 below. You can withdraw your pitch in My submissions and request recording deletion through our privacy contact.
- Service outputs and history. Mastered files, generated lyrics, and your
request/generation history.
- Purchase and billing data. Records of balance purchases, spend, saved-card
consent, and auto top-up settings and attempts. Card payments are processed by Stripe; we receive confirmation, provider identifiers, and limited display metadata (such as the last four digits, card brand, and expiry date) but not your full card number.
- Usage and device data. IP address, approximate location (country), device
and browser type, pages viewed, referring URLs, and interactions — collected via first-party logging and the analytics/advertising tools described in the Cookie & Tracking Policy.
- Marketing preferences. Whether you subscribed to release alerts or other
emails, and your engagement with them. For demo and playlist submissions, we record your Yes or No choice, account, date, submission type, and the wording you answered.
3. Why we use it (and our legal bases)
- To provide the services you request — master audio, generate lyrics,
deliver downloads, run your account and wallet. (Performance of a contract.)
- To take payment and prevent fraud. *(Contract; legitimate interests; legal
obligation.)*
- To communicate with you about your requests, security, and changes.
(Contract; legitimate interests.)
- Marketing emails (releases, creator tips, and offers) where you have opted
in. Submission forms require a Yes or No choice. Either answer lets you submit and does not affect review. No withdraws permission for marketing emails; required submission updates continue. You can unsubscribe at any time. (Consent.)
- Analytics and advertising to understand and grow our audience. In the EEA,
UK and Switzerland these run only with your consent. (Consent; legitimate interests elsewhere.)
- To keep the services safe and comply with law. *(Legitimate interests;
legal obligation.)*
4. Sharing
We share personal data only with:
- Service providers ("processors") who work on our behalf — cloud hosting
and storage (Cloudflare), payment processing (Stripe), email delivery (Resend and our transactional mail), and analytics/advertising partners (Google, Meta, Reddit) as described in the Cookie & Tracking Policy.
- Authorities or others where required by law, to protect our rights, or as
part of a business transfer.
We do not sell your personal data.
5. International transfers
Our providers may process data outside your country, including in the United States. Where we transfer personal data internationally we rely on appropriate safeguards, such as the European Commission's Standard Contractual Clauses.
6. Retention
We keep personal data only as long as needed for the purposes above: account and content data for the life of your account (and a limited backup window after deletion); analytics event data for up to about 180 days; and financial records for as long as tax and accounting law requires.
- Saved songs. Files saved in My items are private and available for 30 days
after saving. Incomplete uploads are removed after 24 hours.
- Review copies from saved songs. Attaching saved audio to a submission
creates a separate private review copy. It is available to our staff for up to 30 days after a decision and no more than 90 days after submission, whichever comes first. Removing the song from My items alone does not remove this review copy.
- Recordings uploaded directly to a playlist pitch. These recordings
normally expire 30 days after upload. The first acceptance or decline keeps the recording for another 30 days. Placement confirmation may require longer. These periods are separate from the saved-song review-copy periods above.
- Withdrawal and deletion requests. You can withdraw a pitch in My
submissions, including after review, and request recording deletion at privacy@planetary.music. We retain only the limited private request and decision records needed to handle submissions and removal requests, limited backups, and records required by law. Expiry or deletion of a recording does not erase the recorded decision.
- Service downloads. These keep their existing seven-day availability.
Deleting your account removes access to your song library immediately and schedules removal of its audio and review copies. Removal may be retried when a file is temporarily unavailable. We retain request and decision records where needed to handle submissions, and billing records where required by law.
7. Your rights
Depending on where you live, you may have the right to access, correct, delete, port, or restrict processing of your personal data, and to object to processing or withdraw consent. To exercise these rights, email privacy@planetary.music. You may also complain to your local data-protection authority.
8. Children
Our services are not directed to children under 16, and we do not knowingly collect their data. If you believe a child has provided us data, contact us and we will delete it.
9. Security
We use technical and organizational measures to protect personal data, but no method of transmission or storage is completely secure.
10. Changes
We will post changes here with a new "last updated" date and, for material changes, provide additional notice where appropriate.
